Overview
Migr8IT designed and delivered a custom web API to securely extract, transform, and load over 500GB of complex Lotus Notes data into Microsoft Dynamics 365. This enabled the successful re-platforming of 25 business-critical Lotus Notes client applications.
The Challenge
The organisation needed to migrate large volumes of business-critical data from a complex Lotus Notes estate into Microsoft Dynamics 365 as part of a wider modernisation programme.
However, the data was distributed across dozens of custom applications with deeply integrated workflows, dependencies, and proprietary data structures.
Internal teams lacked the specialist Lotus Notes expertise required to safely extract and interpret this data. Off-the-shelf migration tools were unable to handle the complexity, while manual extraction would have introduced significant risk to data accuracy, compliance, and business continuity.
Without specialist intervention, the organisation had no reliable path to unlock their Lotus Notes data or complete the transition to Dynamics 365.
Migr8IT's Solution
Migr8IT engineered a secure, purpose-built web API designed specifically to handle high-volume extraction and transformation of complex Lotus Notes data structures.
The solution automated the extraction, validation, and transformation of large data sets across multiple applications, ensuring data integrity while eliminating the need for manual migration processes.
Built-in validation and error handling ensured every data record was traceable and auditable throughout the migration process.
The client connected the API to Azure Data Factory to orchestrate the migration pipeline and load the transformed data into Microsoft Dynamics 365.
This approach delivered a complete, secure, and fully auditable migration, providing clean and reliable data within Dynamics 365 from day one.
This project demonstrates the value of specialist Domino expertise. Migr8IT transformed inaccessible legacy platform data into a secure, modern data foundation that enabled the organisation’s wider digital transformation programme.

Lotus Notes Data Migration Frequently Asked Questions
What exactly does the Lotus Notes / Domino to Dynamics 365 data migration cover?
We extract your legacy Domino application data and attachments and map them into Dynamics 365 entities, then load them into your target Dynamics environment. We can also deliver the extracted data into a staging area if you need to perform additional transformations before loading into Dynamics.
Can you only migrate Lotus Notes / Domino data to Dynamics 365?
Not at all. We can migrate Lotus Notes / Domino data to virtually any modern platform. Dynamics 365 is just one destination. Our extraction framework lets us deliver your data into a wide range of targets, including:
- Microsoft SQL Server
- Azure SQL Database
- Azure SQL Managed Instance
- Azure Data Lake Storage (ADLS)
- Azure Blob Storage
- Azure Cosmos DB
- SharePoint Online
- Microsoft 365 / Office 365 services
- Dataverse
- Power Platform solutions
- Power BI datasets
- AWS storage (S3)
- PostgreSQL
- MySQL
- Oracle databases
- On-premises SQL environments
- REST APIs and custom endpoints
- Other CRM or ERP systems (Salesforce, ServiceNow, SAP, etc.
Whether you need a straight data lift, a cloud-ready structure, or a clean landing zone for analytics, reporting, or integration, we can shape the output to whatever environment you prefer.
Why should we migrate away from Lotus Notes?
You don’t have to. Lotus Notes / Domino is still a solid platform and many organisations continue to run it successfully. We’re not in the business of telling customers to abandon technology that works for them.
That said, some organisations decide to migrate because they’re looking for things Domino can’t easily provide such as easier access to modern cloud ecosystems, broader integration options, a larger pool of available developers, and long-term alignment with Microsoft 365 or other enterprise platforms. Solutions like Dynamics 365 offer richer out-of-the-box capabilities and a modern support and scalability model.
Our role isn’t to push you off Domino, it’s to support you if you decide the time is right to move. Whether you’re exploring options or committed to a migration, we help you make an informed, low-risk transition.
How is your approach different from 'lift and shift' tools or do-it-yourself?
Most Lotus Notes applications are not off-the-shelf databases, they’re heavily customised systems with unique data structures, bespoke forms, rich-text fields, embedded objects, agent-driven logic, and years of workflow behaviour baked into them. Generic migration tools struggle with that level of variation.
Our approach is built specifically for these real-world applications. We use a custom web API and migration framework that handles extraction, transformation, validation, and load with far more control than standard utilities can offer. This allows us to:
- handle very large datasets efficiently (hundreds of gigabytes),
- map complex, non-standard data structures into clean, well-designed entities in the target platform,
- interpret and preserve custom fields
- apply detailed validation and transformation rules to convert Domino’s flexible schema into structured target models,
- maintain full audit trails and governance at every step to minimise risk and ensure data integrity.
In short, our method isn’t a push-button export. It’s engineered for the messy, bespoke, business-critical applications that organisations rely on, the ones that can’t be migrated safely with a quick script or a generic connector.
What kinds of Lotus Notes / Domino applications can you migrate?
Anything from simple mail/databases through to complex custom apps with custom fields, views, attachments, embedded workflows.
If your app is highly bespoke, we still evaluate and define the mapping scope as part of the project.
Do you use other migration software?
Yes, we can combine industry-leading migration tooling with our own purpose-built extraction and transformation framework. Off-the-shelf software gives us robust connectors, proven handling of large datasets, and mature security practices. Our custom framework builds on that foundation, allowing us to interpret complex Domino applications, map bespoke data structures, apply transformation logic, and maintain complete auditability throughout the process.
This hybrid approach delivers the best of both worlds:
- the stability and reliability of market-proven migration software,
- the flexibility required for highly customised Domino applications,
- and the assurance that every data point is validated, traceable, and migrated safely.
The end result is a migration process that is faster, more accurate, and more resilient than relying on generic tools alone.
What happens to attachments, history, and embedded documents in Lotus Notes?
They’re included. We extract attachments and embedded documents, map them to appropriate entities (or custom entities if needed), and ensure historical data is preserved. Our tooling and methodologies ensure secure transformation and maintain auditability.
How long does a migration take?
It depends on the number of apps, data volume, complexity and target configuration. For large scale migrations (500 GB+ data, tens of apps) our framework supports efficient migration.
We’ll deliver a timeline after an initial assessment.
What’s the risk of business disruption / data loss during migration?
Risk is kept extremely low. Our migration framework is designed so your users can continue working in Lotus Notes while we extract, transform, and validate the data. We support delta migrations, which means we can repeatedly capture only the changes made since the last run. This keeps the final cut-over window short and predictable.
We also reduce risk through:
- automated validation and error-handling during extraction and transformation,
- full audit trails of every migration step,
- multiple test migrations and verification cycles,
- a final delta load and go-live only once data integrity is fully confirmed.
This approach allows your business to keep running without interruption while ensuring that the migrated data is complete, accurate, and fully traceable.
What about costs?
Migration cost depends on a few factors such as application complexity, data size, the number of applications involved, and your chosen target environment. After the scoping phase we provide a detailed, itemised quote, and we’re transparent about what’s included and what counts as additional scope.
We also place strong emphasis on ensuring you see a genuine return on your investment. That means recommending the most efficient migration approach, avoiding unnecessary work, and helping you land on a modern platform that delivers long-term value.
Is there an ongoing support or maintenance option after migration?
We offer support packages (legacy system support, monitoring, optimisation) if you wish.
How secure is the migration process?
Security is integral to the way we work. Our migration APIs run inside your Domino environment, which means we utilise Domino’s built-in security model (access control lists, reader/author fields, user roles, and all the permissions your organisation already relies on). Data is only exposed within the boundaries that Domino itself allows.
When data is transferred out of Domino, the process happens through secure, authenticated channels. Every transformation step is logged, every load operation is audited, and the entire pipeline follows established governance and compliance practices. This is especially important for organisations migrating large volumes of sensitive or business-critical data.
By operating directly within Domino and maintaining full auditability end-to-end, we ensure that the migration is not only secure, but fully traceable and aligned with your existing security posture.
What’s the first step if we want to proceed?
Reach out to us. We’ll start with a discovery session where we assess your current Domino estate, identify the applications and data you need to migrate, and clarify your target platform and architecture.
We also determine the best approach for your organisation. We have a wide range of migration options, from our own in-house frameworks, to trusted implementation partners, to market-leading migration software. This gives us the flexibility to tailor the process to your requirements rather than forcing you into a one-size-fits-all solution.
After discovery, we produce a detailed statement of work, a clear timeline, and a recommended migration strategy that aligns with your business goals and technical landscape.
