Overview

Migr8IT delivered a full modernisation of a highly complex, business-critical Lotus Notes application into a secure cloud-hosted web platform in just 30 days.

The Challenge

!

Thick client architecture

!

Limited accessibility for modern working

!

High operational risk as the platform aged

!

Zero tolerance for data loss or operational disruption

The client relied on a complex Lotus Notes 8.5 application that had become a barrier to modern working.

The thick-client architecture restricted accessibility, while the ageing platform introduced growing operational risk, approaching technical and operational limits of Lotus Notes 8.5.

Modernising the system was challenging because the application contained complex workflows, custom logic, and deeply integrated security controls. Any loss of functionality, workflow behaviour, or data integrity would have disrupted daily operations and affected ISO accreditations.

This meant the modernisation had to deliver a like-for-like transition with zero operational disruption.

Migr8IT's Solution

Migr8IT implemented a structured lift-and-refactor approach that preserved the application’s logic, workflows, data structures, and security controls while replacing the underlying legacy architecture.

The existing Lotus Notes codebase was refactored into a modern web architecture, transforming the thick-client application into a secure browser-based platform.

All data was securely migrated and validated to ensure complete integrity and continuity. The resulting web application mirrors the behaviour and functionality of the original Notes system, allowing users to transition immediately without retraining or operational disruption.

Secured with Azure Entra ID and Single Sign-On (SSO)

The new platform provides secure browser-based access across devices and integrates with Azure Entra ID for enterprise identity management.

Single Sign-On and multi-factor authentication strengthen security while simplifying user access.

By replacing the legacy thick-client platform with a modern cloud-hosted web architecture, the solution removed technical debt, improved resilience, and ensured long-term sustainability.

This project demonstrates how specialist Lotus Notes expertise enables rapid modernisation while protecting business continuity.

Lotus Notes Modernisation Outcomes

Microsoft 365 Ready Architecture

Secure authentication via Azure Entra ID with Single Sign-On and MFA, enabling seamless integration with Microsoft 365 identity and security standards.

Modernisation Without Disruption

The transformation was completed in just 30 days with zero operational disruption. Users continued working in the Lotus Notes application until the new platform was released.

Simplified Support and Administration

Refactoring the legacy client-server architecture into a standards-based web platform removed dependency on Domino clients and specialist server administration.

Zero User Disruption

All workflows, security controls, and user interface behaviour were preserved, eliminating retraining and adoption risk.

Cloud-Native, Scalable Platform

A cloud-native architecture enables on-demand scaling, improved performance, and removes infrastructure constraints.

Anywhere, Any Device Access

Moving from a desktop-bound Notes client to a secure browser-based platform enables access across laptops, tablets, and operating systems.

Successful Lotus Notes modernisation requires specialist expertise.
Without deep understanding of application logic, security models, and data structures, modernisation can break critical business processes.

Lotus Notes Modernisation Frequently Asked Questions

  • What types of Lotus Notes applications can you migrate to the cloud?

We migrate everything from lightweight databases to large, highly customised  applications (forms, views, embedded code, workflow logic). Whether it’s a simple app or gigabytes of of data plus complex of workflows, we’ve got the experience.

  • Is the new cloud platform easier to support than our existing Lotus Notes applications?

    Yes, significantly!

One of the biggest advantages of moving to a cloud-hosted web app is that it’s built on open, widely adopted web technologies. That means no proprietary client software, no specialised Domino expertise, and no dependency on niche development skills.

The platform can be supported by any modern IT team or partner familiar with standard web stacks, APIs, and cloud services. Updates, fixes, and enhancements are simpler to deliver, and you benefit from a much broader ecosystem of tools and developers.

Compared to maintaining legacy Lotus Notes client applications, ongoing support becomes far more predictable, cost-effective, and future-proof.

  • Do you have a preferred cloud platform for migrating Lotus Notes applications?

Yes,  our preferred platform for many Lotus Notes modernisation projects is Docova. It’s built specifically for organisations looking to move away from Lotus Notes while retaining the flexibility, structure and workflow concepts they rely on today. Docova can be used as a cloud-hosted platform or deployed in your own environment when data sovereignty is a priority.

Docova is designed from the ground up for Lotus Notes-style application migration, which makes it a natural fit for complex, custom-built databases. It supports familiar features like rich forms, views, document-centric workflows, granular security, and attachment handling,  but delivered through a modern, cloud-hosted web interface based on established open web technologies.

We still support migrations to Azure, AWS, custom web apps, SQL platforms and other cloud environments. But when customers want the closest functional continuity with the least rewriting and the most predictable transition, Docova often provides the smoothest and most cost-effective path.

  • Will the users experience any downtime during migration?

Minimal to none. We plan migrations so you can continue working in the existing Lotus Notes application while we extract, transform, and stage the data. A final cut-over (delta migration) ensures only recent changes are moved. That means users move seamlessly to the new web app with negligible service interruption.

  • How do you preserve the custom logic, workflows and UI of our Lotus Notes app?

We perform a detailed discovery and mapping exercise to capture every custom field, view, agent, workflow, and UI feature in your Lotus Notes app. Then our migration process refactors or replicates that logic in the new web app. We can preserve 100% of custom workflow, data and security in most cases.

Our migration service includes code refactoring, to optimise and future-proof the application with additional error handling.

  • What happens to attachments, document history and legacy content?

Everything moves. Attachments, embedded documents, version history and legacy records are extracted, transformed and loaded into the cloud web app so no business-critical data is left behind.

  • Can you make the new web app device-agnostic and browser-accessible?

Yes. This is one of the key benefits!

We convert the Lotus Notes client experience into a browser-based web application, accessible from laptops, tablets or mobile devices, across operating systems. This enhances flexibility, remote work support and user experience.

  • What about scalability, maintenance and long-term readiness?

Shifting to a cloud-hosted web app gives you flexible storage and processing power, more predictable costs, easier support since no Lotus Notes client is needed, and a modern platform that’s built to handle future upgrades, integrations, and add-ons.

  • How secure is the new solution and the migration process?

Our migration process retains your existing Domino security model (ACLs, user/role access, document level control).

The new cloud-hosted web app is deployed with modern security controls and optional Azure Entra ID integration with Single Sign-On (SSO) and Multi-Factor Authenticastion (MFA).

Every migration stage is fully logged and governed to ensure data integrity, traceability and compliance throughout the project.

  • What is the cost structure and licensing?

Costs depend on the size and complexity of your Notes applications, number of users, cloud target environment and level of customisation. We’ll scope your estate and provide a transparent quote with in-scope vs optional items. Also, we focus on delivering value and a return on your investment through reduced support overhead and modern technology benefits.

  • How do we get started if we decide to move forward?

Simply contact us to arrange a discovery session. We’ll analyse your Domino environment, identify the Lotus Notes apps and data for migration, propose the target architecture for the cloud-hosted web app, recommend migration software and partners, and produce a statement of work and timeline.
