Enterprise Lotus Notes Estate Transformed into Microsoft Dynamics 365

Specialist Domino expertise supporting a £3M+ Microsoft Dynamics 365 transformation programme

Migr8IT played a pivotal role in a £3M+ Microsoft Dynamics 365 transformation programme, translating complex Lotus Notes functionality into clear specifications for Dynamics architects and developers.

The engagement included analysing legacy Notes applications, documenting embedded business logic and workflows, and providing technical oversight to ensure functionality was accurately reproduced within the new platform.

Migr8IT also managed third-party Domino contractors from the client’s managed service provider as part of the programme delivery.

The Challenge

The client was undertaking a multi-year enterprise transformation to Microsoft Dynamics 365, replacing a large and highly customised Lotus Notes 8.5 estate that had evolved over more than two decades.

Hundreds of Notes applications supported critical operational, compliance, and workflow processes across the organisation. Much of this functionality was deeply embedded within legacy forms, agents, and database structures, with no documentation and heavy reliance on specialist knowledge.

The challenge was not simply migrating data, but accurately understanding and translating complex legacy behaviour into Dynamics 365 without disrupting live business processes.

Delivery Approach

The Lotus Notes estate comprised hundreds of customised applications supporting complex operational and compliance requirements. Migr8IT provided dedicated subject matter expertise to analyse application architecture, data models, dependencies, and business logic across the most critical systems, translating legacy functionality into clear, actionable requirements for Dynamics 365 architects and developers.

Working closely with the client’s programme team and Microsoft partners, Migr8IT ensured accurate, auditable data migration with full integrity and traceability, while reproducing business-critical functionality in Dynamics 365. Robust coexistence between Lotus Notes and Dynamics 365 was designed and implemented to protect business continuity throughout the transition.

This approach enabled the client to progressively retire their Lotus Notes estate, reduce technical debt, and move forward with a secure, scalable, cloud-based enterprise platform.

The programme demonstrated the value of specialist expertise and technical leadership in migrating both data and functionality from complex legacy systems into modern enterprise platforms without business risk.

How Domino Specialist Expertise Reduced Programme Risk

Preservation of Business-Critical Functionality

Deep specialist analysis ensured complex Lotus Notes logic, workflows, and data structures were fully understood and accurately translated into Dynamics 365, preventing loss of capability during the transformation.

Accelerated Project Delivery

Specialist expertise enabled Dynamics architects and developers to move faster by providing clear functional interpretation of legacy systems, removing uncertainty and reducing costly redesign work.

Risk-Controlled Legacy Modernisation

Specialist handling of legacy Notes applications reduced migration risk by identifying hidden dependencies, undocumented workflows, and complex data relationships before they could disrupt delivery.

Accurate Translation of Legacy Business Logic

Experienced Domino specialists interpreted embedded application behaviour, ensuring critical operational workflows and compliance processes were correctly reproduced in the new Dynamics 365 platform.

Reduced Programme Risk

Early technical insight into the legacy platform allowed risks to be identified and mitigated before development began, preventing costly mistakes and protecting programme timelines.

Technical Leadership for Transformation Teams

Providing senior Domino expertise within the programme gave architects and developers a trusted source of truth for legacy system behaviour, enabling confident decision making across the transformation effort.

A tremendous pool of expertise. The project simply wouldn’t have succeeded without Migr8IT

Domino Specialist Expertise Frequently Asked Questions

  • Do you migrate Lotus Notes Domino applications directly into enterprise CRM platforms?

Not on our own. We don’t replace CRM implementation partners, we work alongside them. Our focus is the complex Domino/Notes side, understanding the custom apps, extracting the data, interpreting the logic, and delivering a clean, structured dataset that CRM specialists can build on.

  • What CRM platforms can you support as part of a migration?

Any. While many customers move to Dynamics 365, our role is platform-agnostic. We deliver specialist Domino expertise, data extraction, schema mapping and transformation in a way that works with any enterprise CRM. Dynamics, Salesforce, ServiceNow, bespoke line-of-business platforms, or custom cloud apps.

  • How do you help CRM teams replicate the behaviour of custom Notes applications?

Most Lotus Notes  apps are highly customised with flexible schemas, rich-text data, embedded docs, agents, workflows and bespoke security. We analyse and document this behaviour, explain it to the CRM implementation team in their language, and generate structured specifications so they can rebuild the functionality cleanly in the new platform.

  • Do you migrate more than just data?

    Yes. We interpret:

    • custom fields and forms,
    • workflow logic and approvals,
    • document relationships,
    • access controls and security,
    • integrations and agent-based automation.

We turn loose Domino concepts into clear, CRM-ready definitions. CRM partners then use those definitions to rebuild the application properly.

  • Can users keep working in Notes during the migration?

Absolutely. We support delta migrations so the CRM team can continue development while the legacy system is still live. Only the final cut-over requires a short freeze window.

  • How do you ensure the CRM team receives clean, reliable data?

Our framework handles extraction, transformation, validation and load. This includes:

    • high-volume handling (hundreds of GB),
    • rich-text cleanup and normalisation,
    • attachment extraction and linking,
    • relational mapping,
    • full audit trails.

By the time the data lands in the CRM team’s staging area, it’s structured, consistent and ready to model.

  • How does your involvement reduce project risk?

Enterprise CRM teams excel at CRM, but rarely at Domino. Without us, they’re often forced to guess how Notes apps behave, which leads to missed logic, incomplete data or flawed designs. We remove that uncertainty. We translate the legacy system into something repeatable, testable and fully understood.

  • Do you help the customer decide whether to leave Notes?

No. We aren’t here to push customers off Domino. We support organisations if and when they choose to migrate, and we help CRM partners deliver that migration smoothly.

  • Are you responsible for building the CRM solution?

No. The CRM partner owns the CRM build. We own the Lotus Notes / Domino side. Together we deliver a full migration, but our contribution is scoped exclusively to the legacy system where deep expertise is required.

  • What’s the first step?

A joint discovery session with the customer and their CRM partner and / internal teams. We examine the Domino environment and Lotus Notes applications, outline data and logic requirements, and provide the CRM team with the information they need to design the target solution. Then we handle the extraction and transformation work while they build the new platform.
